Privacy policy

We do everything we can to keep your private information private. When you order a bicycle from us, you don’t want others to steal your personal information. We do ask you for information, so we can help you as best we can. Below you can read what data we ask for and how we use it. You will also find out what your rights are, who has access to your data and how long we store it.

Register in myo2o Biker

To register for our myo2o Biker portal, we need at least some information from you. What do we need to know?

First name, last name

You want a smooth service from o2o. Therefore, we ask you to share your name with us to be able to help you easily in using the myo2o Biker portal. Later on, you want your bicycle and its accessories to reach the right person. Your employer would also like to know which employee has ordered the bicycle. Furthermore, we provide the service for your employer to prepare the annex to your labour agreement.

Company details

Our services are based on the specific agreements that your employer has made with o2o. Besides the login code, which is unique for your employer, we ask you to indicate whether you are a blue-collar or a white-collar employee. The correct services and rates are linked to these details. Doing so, when you simulate a bicycle contract you see the correct rental fee that will be charged to your employer as well as the correct gross contribution by which your gross salary will be reduced.

Email address

At which email address would you like to receive our communication? All communication for the order and after-sales service will be mainly by email.

Cell phone number

In case of quick communication, e.g. support in the use of myo2o Biker, further help with an order and delivery of your bicycle, or confirmation of registration for regular maintenance that can be organised on your work site, we would be happy to contact you by mobile phone.

Employee number

Your employer may need your employee number for a smooth processing of the payroll administration.

Language

You would like to be helped and receive all documents and information in your preferred language. Therefore, you can choose between Dutch, French or English.

IP address

By remembering the IP addresses of our visitors, we can offer all our customers a safe shopping and user experience.

Ordering bicycle and accessories

To process orders for a bicycle and accessories, we need at least some additional data from you to provide the service. What do we want to know from you?

Bicycle plan

Your employer may offer different bicycle plans. Choose the right plan to do all the calculations correctly.

Your choice of bicycle!

Let’s call a spade a spade, that bicycle of your dreams, that’s what it’s all about. What do you want us to order from the bicycle dealer?

We need the following information from you about your bicycle:

  • Bicycle brand
  • Bicycle model
  • Bicycle model year
  • Frame colour
  • Frame size
  • Bicycle type you have chosen
  • List price of your bicycle

 

About your options and accessories, we need the following information from you:

  • Brand, model and list price of the lock: your bicycle must have a sufficiently secure lock for the theft insurance
  • Details of the other options and accessories
  • The price of the Bebat and/or recycling premium, if any

 

To process your order correctly, we also ask you to add the offer of the bicycle dealer to your order request.

Your services

Your bicycle does not come without the comfort services. Which services would you like to add to your contract? You can choose your service budget yourself and also indicate which services of the insurances and breakdown assistance you would like to see added.

Your bicycle dealer

Which bicycle dealer would you prefer to order your bicycle? We need at least the following information to be able to order the bicycle from the correct shop:

  • Dealer’s name
  • Dealer’s address
  • Dealer’s direct telephone number
  • Dealer’s email address

 

National registration number and driving licence

We need your national registration number, the category and number of your driving licence, and the date you obtained your driving licence if we are to include civil liability insurance for you. This is only required for speed pedelecs. After taking care of the liability insurance, we remove your national registration number again.

Further details about your bicycle and its accessories

When processing your order, your bicycle dealer will provide us with the following information about your bicycle and its options and accessories:

  • Frame number
  • Serial number
  • BikeID
  • Bicycle lock code
  • Battery code if applicable
  • Velopass number if applicable

 

Licence plate

If you select a speed pedelec electric bicycle, we will request a licence plate for the bicycle dealer to mount on your bicycle. We also keep a record of the licence plate number.

Height

We need this to select the right frame size for you.

Delivery of bicycles

When your bicycle is delivered to you, we will ask you to sign a declaration of receipt. This is an additional annex to your labour agreement. It states which products you received and when you received them. More specifically, the following information is recorded and kept up to date:

  • First name and last name
  • Your home address
  • Your employer’s name and business address
  • The bicycle dealer
  • Bicycle brand, model, frame size, frame colour, list price, ID number, frame number and serial number
  • Description of the delivered options and accessories, and their total list price
  • Licence plate number in case of a speed pedelec electric bicycle
  • Date and place of receipt

 

If your bicycle is delivered to your home or place of work, our delivery partner will be able to view these details, as well as your email address and telephone number, to perform his or her task: deliver your bicycle and have it signed for receipt. The delivery partner must send us the signed declaration of receipt.

If you order your bicycle from a local bicycle dealer, he or she will have access to this information about you, as well as your email address and telephone number. The local dealer needs to send us the signed declaration of receipt.

For some bicycles, the supplier of your bicycle (o2o or the local bicycle dealer) also needs to request a login code from the bicycle manufacturer for the mobile app for your bicycle, which the supplier will give you upon delivery of your bicycle.

The local bicycle dealer, the delivery partner and the bicycle manufacturer are 100% responsible for your privacy.

Management of your bicycle and bicycle services

The details of your bicycle will be entered into our database. There we keep them safely stored. All data that you have entered when ordering are stored. In addition, we assign a unique ID to each bicycle delivered. We need this ID to be able to link all relations, interventions, services and payments to the correct bicycle.

We manage this data to be able to provide all after-sales services optimally. The value of your service budget is tracked to ensure correct reimbursements and billing. If you have financed maintenance or repairs yourself, you can be reimbursed for as long as your service budget lasts. In case a bicycle repairer has had to invoice more than your service budget, you will be charged a surplus.

If you order a bicycle through your employer, we also have to share data with your employer for wage processing and fleet management.

Maintenance history

If your bicycle mechanic carries out maintenance or repairs on your bicycle, we keep a record of when each intervention was carried out. As such we know when a next service is due, and we monitor which interventions need to be carried out during the next service.

Theft and damage insurance, civil liability insurance and extended warranty insurance

The insurances can be provided by a specialised insurer. To do so, the insurer has access to a minimum number of necessary details about you:

  • First name and last name
  • Employer
  • Bicycle, accessories and list prices
  • Order ID number and bicycle ID number
  • The bicycle type you have chosen
  • Frame number
  • Date start of contract
  • National registration number, the category and number of your driving licence, and the date on which you obtained your driving licence in the case of a speed pedelec.

 

The insurance provider is 100% responsible for your privacy. More information is available on the Vanbreda website.

Breakdown assistance

For breakdown assistance, we call on a specialised breakdown service. To recognize you as a customer when you call for an intervention, we share at least the following necessary data from you:

  • First name and last name
  • Your home address
  • Telephone number
  • Bicycle brand
  • The bicycle type you have chosen
  • ID number of the order and of your bicycle
  • Start date of contract
  • End date of contract

 

The breakdown service provider is 100% responsible for your privacy.

End of contract

Pick up of your bike

At the end of your cycling contract, we make sure that your bicycle is returned in good condition. We use a specialised partner for this. To organise this smoothly, we share at least the following necessary data from you:

  • First name and last name
  • Home address
  • Telephone number
  • Email address
  • End date of contract
  • ID number of your bicycle
  • Bicycle brand
  • Bicycle model
  • Bicycle model year
  • Frame colour
  • Frame size
  • Bicycle type you have chosen
  • Lock brand and model
  • Other options and accessories details

 

The pick-up service provider is 100% responsible for your privacy.

Purchasing your bicycle

If you would like to purchase your special bicycle and all its options and accessories at the end of the lease, we can easily arrange this for you.

Billing details

We’d like to include the correct details on your invoice:

  • First name and last name
  • Company and VAT number, if applicable
  • Address

Payment details

This way we can check that payments are made correctly.

Reviews and customer satisfaction survey

We do everything to guarantee you a carefree cycling experience. To check whether we succeeded in our mission, we will send you an invitation by email or message to measure your satisfaction. We like to know what could be improved.

For example, we will ask you about your satisfaction after your bicycle is delivered, or after your bicycle has had maintenance.

Cookies

We want our website to work as optimally as possible and to improve it every day. That is why we measure the behaviour of our visitors with cookies. For example, we measure the viewing of pages, zooming in on products or clicking on links. This data is only used internally.

Contact with our customer service

We help you with questions about your choice of bicycle, any options and accessories, your order, and solve problems for you. You can call or email us. To process your question or complaint, we may ask for the ID number of your order, the ID number of your bicycle, name, employer and other information to facilitate processing.

We will do everything we can to help you on your way. If we see that you are stuck somewhere in our system, there is someone to help you out, and we will reach out to you.

Informative wizards

For informative wizards such as a calculator to calculate your bicycle lease or a bicycle guide to discover which bicycle would best suit your preferences, we will ask for your email address and phone number. This enables us to provide you with our personal service. With the wizards, we also give you the opportunity to stay informed by and about o2o.

Information brochures

From time to time, we provide information brochures that we deliver by email. With the download form of the brochure, we give you the opportunity to stay informed by and about o2o. To do so, we ask for a number of details so that you can receive the information that is relevant to you.

Newsletters and email

We keep newsletters and email to a minimum. Emails that we send to all employees of a corporate client of ours are only forwarded through a responsible person of the company. Therefore, we do not ourselves have all the email addresses of the employees.

Newsletters and emails can be sent to all users of a myo2o Biker account and all drivers with an o2o bicycle. What are the ‘legal grounds’ for using your data?

We need your data because of the contractual agreements between you and o2o and, if applicable, between your employer and o2o. This is the case for:

  • The registration in our myo2o Biker portal
  • Using the informative wizards
  • Ordering your bicycle, options and accessories
  • The delivery of your bicycle, options and accessories
  • The management of your bicycle and the provision of services under the service contract
  • Pickup or purchasing your bicycle

 

In addition, we may use your data for ‘legitimate interest’. This means we want to provide the best possible personalised service to all our customers. In doing so, we always consider your privacy. This applies to:

  • Mobility analyses
  • Reviews and customer satisfaction surveys
  • Visits to the o2o website and our portals
  • Contact with our customer service
  • Newsletters and email

 

We may also have a legal obligation to use your data, for example if we suspect fraud. And sometimes you have given us permission to use your data, for example to stay informed after downloading an information brochure or using an information wizard.

Who has access to your data?

We only pass on your data to other parties if this is really necessary for our services. These parties are: your employer in the context of a rental through your employer, delivery partners, suppliers or repairers, insurers, financial institutions in the context of pre-financing or finance rental, breakdown assistance, pickup service, payment partners, IT service providers and parties who collect our reviews. In suspicious situations, we are obliged to share customer data with government agencies.

The parties who receive access to your data from us may only use it to provide you with a service on behalf of o2o. Unless they are responsible for obtaining and protecting your data. We never sell your data to third parties.

Where are your data stored?

We store your data in various databases. We always apply strict security measures. Home sweet home: that is why your data are almost always stored within the European Union. In the exceptional case that customer data are transferred to countries outside the European Union, we will ensure that your privacy is adequately protected.

How long do we keep your data?

We do not store and use your data longer than necessary. Afterwards, we will delete any data we have about you. Or we may use your data anonymously, as we need certain data for internal analysis and reporting, such as the value of your order.

But how does this work in practice? We maintain certain deadlines after which we delete your data. These are the ones:

 

  • We delete inactive customer accounts after 7 years. After that period, we will only use your data anonymously, for internal reporting.
  • The tax authorities require us to keep our records of invoices, payments and orders for 7 years.
  • If you have signed up for the newsletter or given permission to receive personalised messages, we keep this permission for 5 years. Even if you decide at some point that you no longer wish to receive the newsletter or personalised messages, we will retain the withdrawal of your request. After that period, we will only use your data anonymously, for internal reports.
  • Data that we use to prevent fraud will be kept for 10 years. Not nice, but necessary.

 

What are your rights?

Would you like to have an insight into your personal data free of charge and receive a copy? Would you like us to pass your details on to another organisation? Or do you want to change, delete, limit the use of your data, or change your email preferences? No problem at all. Feel free to do so yourself in the myo2o portal or email us and let us know. You can also object to the use of your data for marketing purposes or indicate that you consider your privacy to be more important than our interests. In that case, we will review the situation.

We want to make sure that you are really you. Therefore, we may ask you for additional information to establish your identity. We also do this in the case of doubtful requests.

How do we protect your data?

We do everything necessary to ensure that your personal data is in safe hands with us. We have already taken the necessary technical and organisational measures to guarantee this.
